RECEPTIONIST – SAN DIEGO

Antonyan Miranda seeks to hire a receptionist. A receptionist is the first point of contact for clients, customers, vendors, and employees. As the gatekeeper to the Firm, the receptionist must be friendly, and maintain a polished, professional, and articulate appearance. Responsibilities include greeting clients, answering all phone calls, maintaining calendars, sorting mail and providing refreshments for various meetings and supporting the Firm in an administrative manner.

Responsibilities and Duties:  
  • Screen guests/customers/vendors upon arrival. 
  • Answer phones. 
  • Calendar management. 
  • Mail sorting and posting. 
  • Legal service; receive and deliver  
  • Process file pick-ups/draft receipts
  • Log First Legal jobs 
  • Housekeeping: maintenance and cleaning of common areas and conference rooms.  
  • Labeling water bottles. 
  • Maintain phone directory. 
  • Maintain office support log.  
  • Update Abacus, as needed. 
  • Update To-Do list with client information, as needed. 
  • Update weekly Bill4Time calendar, as assigned. 
  • Break room maintenance to include but not limited to preparing coffee, unpacking food and supplies, preparing fruit and attending to the dishwasher.  
  • Maintain office support log.
  • Maintain shoe repair log. 
  • Scan, copy, fax as needed. 
  • Submit work orders.
  • Other duties as assigned by a supervisor. 
Qualifications:  
  • HS Diploma or equivalent (preferred). 
  • Practices superior time management.
  • Maintains excellent writing and language skills.
  • Makes evident good technical understanding and can pick up new tools quickly.
  • Possesses great ability to identify potential negative or crisis situation and apply conflict resolution principles to mitigate issues.
  • Strong analytical skills, attention to detail and ability to multi-task.
  • Must be able to investigate, document and resolve issues in a timely and professional manner.  Must possess the ability to generate trust and build relationships with co-workers.
  • Maintain confidentiality and professionalism at all times to protect the privacy of employees and clients.
  • Demonstrates winning Social Customer Service techniques such as empathy, patience, advocacy and conflict resolution.
  • Strong phone skills a must.
